QuickBooks cleanup for Online and Desktop files.

For a QuickBooks file that is wrong, behind, or co-mingled. We reconcile it, correct what was miscoded, and deliver books your CPA can file from.

Most projects in 2–6 weeks · Scoped and priced before any work starts

What does a QuickBooks cleanup fix, and what does it cost?

A QuickBooks cleanup is a one-time project that takes a QuickBooks Online or QuickBooks Desktop file and makes it accurate: accounts reconciled to their statements, uncategorized transactions assigned, duplicates removed, Opening Balance Equity cleared, and tax-ready financial statements delivered to you and your CPA.

Poised Books does this work remotely for small businesses nationwide, led personally by Elizabeth Olsen, a QuickBooks Advanced Certified ProAdvisor. Cleanup is billed hourly against a written estimate you approve, with a $2,500 minimum. Most projects land between $3,500 and $7,000 and finish in two to six weeks. Nothing starts until you agree to the estimate, and if your file turns out bigger than we scoped, we stop and ask you before going over it.

What a QuickBooks cleanup fixes.

These are the problems we find most often inside QuickBooks files, and what happens to each one.

  • Uncategorized and “Ask My Accountant” balances

Transactions QuickBooks imported but could not classify. Each one is reviewed, researched if needed, and assigned to its real account, so the P&L stops hiding where the money went.
  • Duplicate transactions

The same item recorded twice, usually once by the bank feed and once by hand, or by two overlapping feed connections. We keep the entry that matches the bank statement and remove the other.
  • Accounts that were never reconciled

Bank and credit card accounts matched to their statements month by month, oldest first. Credit cards are where unreconciled drift shows up most, because the feed gets connected and the reconciliation never happens.
  • Opening Balance Equity

QuickBooks creates this account as a placeholder when an account is set up. A balance left sitting there usually means the setup was never finished, and it gets reallocated to the accounts it belongs in.
  • Stale receivables and payables

Invoices paid in cash and never marked paid, and bills settled long ago that still show as open. Both distort the balance sheet until they are cleared.
  • Loans and lines of credit

Balances matched to the lender’s statements, with each payment split correctly between principal and interest.
  • Owner draws, transfers, and personal charges

Transfers between your own accounts are not income or expense, owner draws and contributions belong in equity, and personal purchases on the business card come out of expenses.
  • Bank feed items nobody reviewed

QuickBooks auto-categorizes from rules and gets it wrong on generic descriptions like “POS Purchase.” We work through the feed’s review queue and correct what the rules misfiled.
  • Sales tax liability

The sales tax liability on your books verified, so the number your CPA sees is one you can stand behind.
  • Inventory and cost of goods sold

Inventory purchases dumped straight into an expense account, no consistent costing method, and a running inventory count nobody has checked against reality. These are among the most common first-cleanup findings.
  • A chart of accounts that has drifted

Duplicate accounts, vague names, and categories that no longer fit the business, merged and renamed before transactions are recoded.

QuickBooks Online and Desktop.

We clean up both. For QuickBooks Online, you invite Poised Books as an accountant user, which lets us work in your own file without ever asking for your password. For QuickBooks Desktop, you send a backup file or share your screen on a call, and Desktop files sometimes need additional steps for data access.

The process is the same either way: reconcile, correct, verify, hand off. What differs is the file. Desktop tends to hold the larger, more complex files, such as job costing and heavier inventory, and bank feeds there are less reliable than in Online.

Thinking about moving from Desktop to Online? The conversion often introduces duplicated transactions, broken account mappings, and incorrect opening balances. Our Online versus Desktop comparison covers when each makes sense.

What you have at the end.

  • Every account reconciled

All bank and credit card accounts reconciled through the current month, with the balances matching the real statements.
  • Tax-ready financial statements

A Profit & Loss, Balance Sheet, and Cash Flow statement you and your CPA can work from without guessing.
  • A walkthrough of what we found

A live walkthrough of the clean file, an explanation of what was wrong, and documentation of the judgment calls made along the way.
  • CPA handoff

Reports sent directly to your CPA, their questions answered, and any adjustments they request made. Included at no extra charge.
  • 30 days of support

Questions, additional reports, or CPA coordination, included at no extra cost for 30 days after delivery.

The full sequence from first call to handoff is on how a cleanup runs. Behind but not wrong, with months simply unrecorded? Catch-up bookkeeping may be the faster, lower-cost fit.

Billed hourly, with no surprise invoices.

Cleanup is billed hourly against a written estimate you approve, with a $2,500 minimum. Most projects land between $3,500 and $7,000, depending on the condition of your file, transaction volume, and how many accounts are involved. The estimate is agreed in writing before any work starts.

If your file turns out bigger than we scoped, we stop and ask you before going over the estimate.

Common questions about QuickBooks cleanup.

Yes. We work with QuickBooks Online, QuickBooks Desktop, and Xero. The cleanup process is similar regardless of platform, though Desktop files sometimes require additional steps for data access.

For QuickBooks Online, you invite Poised Books as an accountant user. We never ask for your own username and password, so you can revoke access at any time and every change is logged under a separate login. For QuickBooks Desktop, you send a backup file (.qbb) or share your screen. Bank and credit card statements are shared through a secure link, and the work happens inside your own file, which stays yours the entire time.

Cleanup is billed hourly against a written estimate you approve, with a $2,500 minimum. Most projects land between $3,500 and $7,000, depending on the condition of the file, transaction volume, and how many accounts are involved. The estimate is put in writing after your free consultation and before any work starts. If your file turns out bigger than we scoped, we stop and ask you before going over the estimate. That is how we keep invoices from surprising you. Try the cleanup cost calculator for a starting estimate in hours.

Most projects take 2 to 6 weeks depending on the number of years, transaction volume, and accounts involved. We give you a realistic timeline with your written estimate.

Often, yes. For a single-account, low-volume business that is three to six months behind with no major structural problems, a careful DIY cleanup is roughly a weekend, 6 to 12 focused hours. The hours climb fast with multiple accounts, co-mingled personal finances, a year or more of backlog, or a balance sheet that does not tie out. If a month will not reconcile and you cannot find why, or you need the books for a loan or a hard tax deadline, that is the point to hand it off.

Yes. We send reports directly to your CPA, answer their questions, and make any adjustments they request. This coordination is included at no extra charge. Poised Books does not prepare or file tax returns. We hand your CPA clean, reconciled books.

If Desktop works for you, there is no rush. The conversion is not seamless: it often introduces duplicated transactions, broken account mappings, and incorrect opening balances, so plan it rather than attempting it casually, ideally at the start of a fiscal year. Our online-versus-desktop comparison walks through the trade-offs.
